SALEM CITY SCHOOLS IS SEARCHING FOR QUALIFIED APPLICANTS FOR THE POSITION OF PART-TIME SPECIAL EDUCATION SECRETARY FOR THE 2022-2023 SCHOOL YEAR.  POSITION IS 12 MONTHS (260 DAYS) AND 3 HOURS PER DAY.

CENTRAL OFFICE SECRETARY

 

GENERAL DEFINITION AND CONDITIONS OF WORK:

Performs intermediate clerical work requiring a qualified typist; prepares and maintains related records; provides assistance to the public in receiving and routing calls to the proper department; does related work as required.  Work is performed under the regular supervision of Division leadership.  This is a non-exempt position as defined by the Fair Labor Standards Act.

 

This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires stooping, reaching, standing, walking, lifting, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside environmental conditions.

 

ESSENTIAL FUNCTIONS/TYPICAL TASKS:

Serving as clerical support to Division leadership; serving as receptionist and telephone operator; preparing and maintaining division office files and records; assisting teachers and staff.  The Central Office Secretary also…..

  • Acts as receptionist greeting visitors and referring them to the proper party or makes appointments; relays phone messages as appropriate; processes mail, meets the public and provides information;
  • Provides general information regarding school system activities and programs to the public;
  • Greets walk-in public and provides assistance and/or directs them to appropriate office;
  • Receives and distributes mail, postmarks outgoing mail, handles incoming and outgoing parcels;
  • Distributes forms as requested;
  • Maintains calendar and Board room schedule;
  • Performs a variety of office assistant tasks when requested by division staff;
  • Maintains appropriate special education and health plan records;
  • Composes and types letters, memos, reports and records from brief instructions;
  • Operates standard office machines including word processor and computer;
  • Posts a variety of information from standardized sources to various types of records;
  • Processes leave data and enters leave and payroll information online;
  • Performs related tasks as required.

 

KNOWLEDGE, SKILLS AND ABILITIES:

General knowledge of standard office and receptionist practices, procedures and equipment; general knowledge of business English, spelling and arithmetic; general knowledge of school system routine, personnel procedures and record keeping; skill in the use of computer equipment; ability to develop and follow detailed work procedures; ability to type accurately and at a reasonable rate of speed; ability to understand and follow written and oral directions; ability to meet the public effectively; ability to establish and maintain effective working relationships with associates, vendors, and the general public.

 

EDUCATION AND EXPERIENCE:

Any combination of education and experience equivalent to graduation from high school supplemented by courses in business and typing and some experience in clerical work.
