Salem City Schools is looking for qualified applicants for the position of Main Office School Secretary for the 2025-2026 school year. The position begins July 1, 2025. This position is 12-months (260 days).
MAIN OFFICE SCHOOL SECRETARY
GENERAL DEFINITION AND CONDITIONS OF WORK:
Performs intermediate clerical work requiring a qualified typist; prepares and maintains related records; coordinates office staff; does related work as required. Work is performed under the regular supervision of the School Principal. This is a non-exempt position as defined by the Fair Labor Standards Act.
This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires stooping, reaching, standing, walking, lifting, and fingering; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
ESSENTIAL FUNCTIONS/TYPICAL TASKS:
Serving as primary school contact for teachers, staff, students and parents and is responsible for promoting positive school and office culture; primary clerical support to the Principal and staff; serving as receptionist; preparing and maintaining school office files and records; assisting teachers, staff, students and parents. - Answers telephone, processes mail, meets the public and provides information;
- Registers students, verifies data, answers questions, types schedules and prepares records;
- Maintains daily, monthly and cumulative records and files regarding pupil attendance; enters attendance data into computer system;
- Notifies parents of student absences; types absentee list; lists suspensions, student activities, early dismissals and related attendance information;
- Mails pupil transcripts and maintains appropriate records;
- Receives and processes requests for transcripts of present and former students;
- Maintains student information in the student information management system;
- Types letters, memos, reports, bulletins, requisitions, invoices, schedules, manuals, student files and records;
- Operates standard office machines;
- Posts a variety of information from standardized sources to various types of school records;
- Composes and types letters and memoranda in conformance with school policies and from brief instructions;
- Processes leave forms and enters leave and payroll information on-line;
- Administers minor first aid;
- Orders supplies, writes checks, and keeps books;
- Collects and receipts funds;
- At the middle and high school, orders supplies, writes checks, and keeps books in the absence of the Bookkeeper;

KNOWLEDGE, SKILLS AND ABILITIES:
General knowledge of standard office practices, procedures and equipment; general knowledge of business English, spelling and arithmetic; general knowledge of school system routine, personnel procedures and record keeping; general knowledge of basic first aid practices; skill in the use of computer equipment; ability to develop and follow detailed work procedures; ability to type accurately and at a reasonable rate of speed; ability to meet the public effectively; ability to establish and maintain effective working relationships with students, parents, teachers, and the general public.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school supplemented by courses in business and typing and some experience in clerical work.
